Operational Constraint
A German wholesale business was running without any dedicated operational software. Finance, customer records, order creation, deliveries, invoicing, field-sales planning and market observations depended entirely on manual processes, memory, spreadsheets and paper.
The constraint was not a missing tool. No part of the operation had a defined sequence, a defined owner or a defined record — so every order, delivery and invoice was reassembled by hand, and what happened in the field never reached the people making commercial decisions.
Existing Environment
Customer and prospect information lived in people’s heads and scattered notes. Financial and operational data had no connection to each other. Field-sales visits were planned informally, orders were handled through separate manual steps, delivery confirmation required paperwork, invoicing involved repetitive administrative work, and retailer feedback and market observations were not collected systematically at all.
Architecture Decision
A dashboard bolted onto existing systems would have had nothing authoritative to read from. The decision was to build a single operating environment that holds the record end to end — from customer acquisition and field sales through order creation, delivery confirmation and invoicing — rather than to introduce several packaged tools that would each own part of the truth.
The system was deliberately designed as a modular architecture rather than a fixed application, so that inventory controls, forecasting, automated replenishment, customer portals or AI-supported decision tools can be added later without replacing what already runs the business.
What Was Implemented
GBSA Innovation designed and built, entirely from scratch, a modular operations hub combining ERP (finance, products, pricing, orders, inventory, delivery, invoicing), CRM (customer and prospect records, visit history, segmentation), interactive field-sales mapping, route planning, sales-visit preparation, structured visit documentation, market-data collection, digital customer signatures and commercial decision support — fully optimised for mobile, with sessions that carry seamlessly as a user moves between devices.
Field-sales personnel can create customer orders directly inside the operating environment. During delivery, customers can confirm receipt and sign digitally on a tablet, and the delivery confirmation becomes part of the customer and transaction record. Invoices can then be generated through a simplified one-button workflow, connecting the process from order through delivery to billing.
The field-sales map was designed not only to optimise routes and customer visits, but to make every visit a structured data-collection point — sales activity, retailer feedback, product observations, account status, product placement and regional market signals are captured once and reused for later commercial decisions.
Operational Control & Ownership
Each step of the process now has a defined place in the system and a defined record: the order, the delivery confirmation, the customer signature and the invoice belong to one trail instead of sitting on separate desks. Field observations enter through a structured form rather than as informal notes.
The hub is the client’s own operating environment, not a service that depends on GBSA remaining involved. Its modular structure means new requirements are added to the system the business already runs, instead of triggering another replacement project.

Operational Constraint
The client places international candidates into the German labour market. Every profile had to be examined by hand: CVs, qualifications, professional experience, language skills, documentation, occupational suitability, recognition requirements and readiness for German immigration and employment processes.
With thousands of profiles involved, review capacity was the constraint. Qualification, employer matching, presentation and placement all waited on the same manual step, and that step could only be expanded by adding people.
Existing Environment
Candidate CVs arrived in inconsistent, incomplete or badly formatted layouts, which created a second bottleneck alongside the first: deciding which candidates were suitable for a specific role, and converting inconsistent documentation into a clean, professional, standardised format an employer would accept.
Architecture Decision
The judgement was not the problem — the sequencing was. The design keeps the decision with the recruiter and gives the system the work that comes before it: reading, extracting, checking for gaps, comparing against role requirements and ranking. Automated analysis prepares and prioritises; it never places a candidate.
That boundary is built into the system rather than written into a policy note. The transformation function structures and presents information that already exists in the candidate’s documents; it does not invent, embellish or fabricate qualifications, skills or professional experience.
What Was Implemented
GBSA Innovation designed and built an internal operations dashboard with AI-supported candidate analysis, prequalification and document-transformation functions. The platform centralises candidate profiles, analyses candidate information rapidly, extracts qualifications and professional experience, identifies missing or incomplete information, compares candidate profiles with role requirements, and helps prioritise the most relevant profiles.
A second function takes a badly formatted or inconsistent candidate CV and converts it into a clean, structured Europass-style document through a simplified one-button workflow — reorganising personal details, professional summary, employment history, education, qualifications, language skills, technical skills and certifications.
Operational Control & Ownership
Human review remains part of every final document validation. The dashboard shows what was extracted and what is missing, so a reviewer can see why a profile sits where it does rather than being asked to trust a score.
The platform runs inside the client’s own recruitment operation. Capacity increases because the preparation work moved into the system — not because the review standard was lowered.
