Integrated and Highly Automated Operations Hub for a German Wholesale Business

Sales teams can plan routes, create orders, document customer visits and collect market data from one system. Customers can confirm deliveries and sign digitally on tablets, while invoices can be generated through a simplified one-button workflow. The modular platform is designed to evolve continuously as new operational requirements emerge.

Challenge

A German wholesale business was managing finance, customer records, order creation, deliveries, invoicing, field-sales planning and market observations across disconnected systems and manual workflows.

Customer and prospect information was fragmented, financial and operational data was separated, field-sales visits were difficult to plan efficiently, orders had to be handled through separate processes, delivery confirmation required additional paperwork, invoicing involved repetitive administrative steps, and retailer feedback and market observations were not collected systematically.

The business needed more than a reporting dashboard — it required a central operating environment capable of managing the entire workflow from customer acquisition and field sales through order creation, delivery confirmation and invoicing.

Solution

GBSA Innovation designed and built a modular operations hub combining financial visibility, ERP information, CRM functionality, customer and prospect records, interactive field-sales mapping, route planning, sales-visit preparation, structured visit documentation, market-data collection, order creation, delivery documentation, digital customer signatures, invoicing, account histories, operational reporting and commercial decision support.

Field-sales personnel can create customer orders directly inside the operating environment. During delivery, customers can confirm receipt and sign digitally on an iPad or other tablet device, and the delivery confirmation becomes part of the customer and transaction record. Invoices can then be generated through a simplified one-button workflow, connecting the process from order through delivery to billing.

The field-sales map was designed not only to optimise routes and customer visits, but to transform every visit into a structured data-collection opportunity — sales activity, retailer feedback, product observations, account status, product placement and regional market signals can be captured and reused for future commercial decisions.

The operations hub was deliberately built as an evolving system rather than a fixed application. Its modular architecture allows new functions, workflows and integrations — such as inventory controls, forecasting, automated replenishment, customer portals or additional AI-supported decision tools — to be added as the business develops, without forcing a replacement of the system.

AI-Enabled Candidate Intelligence Platform for an International Recruitment Firm

The platform identifies relevant qualifications, experience, readiness gaps and role suitability. It can also transform poorly formatted candidate CVs into clean, structured Europass-style documents through a simplified one-button workflow — allowing candidates to be prioritised, prepared and presented to employers significantly faster than through traditional manual processes.

Challenge

The client works with large numbers of international candidate profiles for placement into the German labour market. Traditional candidate review requires staff to manually examine CVs, qualifications, professional experience, language skills, documentation, occupational suitability, recognition requirements and readiness for German immigration and employment processes.

Candidate CVs also arrive in inconsistent, incomplete or badly formatted layouts, creating two separate bottlenecks: identifying which candidates are suitable for specific roles, and converting inconsistent candidate documentation into a clean, professional and standardised format suitable for employers.

When thousands of profiles are involved, manual review and CV preparation can take days or weeks — delaying candidate qualification, employer matching, presentation and placement.

Solution

GBSA Innovation designed and built an internal operations dashboard with AI-supported candidate analysis, prequalification and document-transformation functions. The platform centralises candidate profiles, analyses candidate information rapidly, extracts qualifications and professional experience, identifies missing or incomplete information, compares candidate profiles with role requirements, and helps prioritise the most relevant profiles.

A major platform function allows users to take a badly formatted or inconsistent candidate CV and convert it into a clean, structured Europass-style document through a simplified one-button workflow — reorganising information such as personal details, professional summary, employment history, education, qualifications, language skills, technical skills and certifications.

The AI-supported transformation is designed to structure and present existing candidate information. It does not invent, embellish or fabricate qualifications, skills or professional experience — human review remains part of the final document-validation process.
